Cancellation & Refund Policy

At Pilates and Pamper, we understand that plans may change. This Cancellation & Refund Policy applies to all our events, including our retreats. By booking an event with us, you agree to the following terms.

1. Event Cancellations & Refunds

1.1. Cancellation by Participant:

  • Cancellations made more than 14 days before the event will receive a full refund, minus any processing fees.

  • Cancellations made 7 before the event will receive a 50% refund or you have the option for it to be transferred to a future event.

1.2. Cancellation by Pilates and Pamper:

  • If we need to cancel an event due to unforeseen circumstances, participants will receive a full refund or the option to transfer their booking to a future event.

1.3. Transfer of Booking:

  • If you can no longer attend, you may transfer your booking to another person. Please notify us at least 48 hours in advance.

2. Retreat Cancellations & Refunds

2.1 The deposit is non-refundable under any circumstances.
2.2. If you cancel more than 90 days before the Retreat start date, you may receive a refund of any additional payments made, minus the non-refundable deposit.
2.3. Cancellations made within 45 days of the Retreat start date are non-refundable.
2.4. If you are unable to attend, you may transfer your spot to another person with prior approval from Pilates & Pamper.
2.5. In the unlikely event that Pilates & Pamper cancels the Retreat, you will receive a full refund, including your deposit. However, we are not responsible for any travel or accommodation costs incurred.

2.6 Pilates and Pamper is not responsible for cancellations due to events beyond our control, including but not limited to natural disasters, government restrictions, pandemics, or other force majeure events. In such cases, refunds or rescheduling options will be provided at our discretion.

3. Private Events, Corporate Bookings & Special Occasions

This section applies to all private bookings, including but not limited to corporate events, hens days, birthdays, wellness days, and bespoke group experiences arranged directly with Pilates and Pamper.

3.1 Booking & Deposit

A non-refundable deposit is required to secure all private event bookings. The deposit amount will be communicated at the time of booking and confirms your event date, time, and services. No booking is confirmed until the deposit has been received.

3.2 Final Payment

The remaining balance must be paid in full no later than 7 days prior to the event date, unless otherwise agreed in writing. Failure to make final payment may result in cancellation of the booking, with the deposit forfeited.

3.3 Cancellation by Client

  • Cancellations made more than 14 days prior to the event may be eligible for a refund of any payments made excluding the non-refundable deposit.

  • Cancellations made within 14 days of the event date are non-refundable.

  • Cancellations made within 7 days of the event date will forfeit all payments made.

3.4 Changes & Rescheduling

Requests to reschedule a private event must be made in writing and are subject to availability.

  • If rescheduling occurs more than 14 days before the event, we will make reasonable efforts to accommodate a new date.

  • Rescheduling requests made within 14 days of the event are not guaranteed and may result in forfeiture of the deposit or additional fees.

3.5 Minimum Numbers & Final Attendance

Private events are often priced based on a minimum number of participants. If final attendance numbers decrease after booking, no refunds or price adjustments will be provided.

3.6 Cancellation by Pilates and Pamper

In the unlikely event that Pilates and Pamper must cancel a private event due to unforeseen circumstances, you will receive a full refund of all payments made, including the deposit. We are not responsible for any additional costs incurred by the client.

3.7 Force Majeure

Pilates and Pamper is not liable for cancellations or changes due to events beyond our reasonable control, including but not limited to natural disasters, government restrictions, illness, pandemics, or other force majeure events. In such cases, we will offer rescheduling or credit options at our discretion, in line with Australian Consumer Law.
